SharePoint: Newsletter #9

Hello SharePointers,

SharePoint 2010 Workflows in SharePoint Online will stop running from the 1st of November. These workflows are very common especially if you have migrated from on-prem using tools like ShareGate. The path forward is to replace these workflows with Power Automate or a third-party workflow solution.

Microsoft made two major announcements at the recent Inspire event. Microsoft Lists brings the power of SharePoint Lists into a standalone application where users can find and create lists. Microsoft also announced Microsoft DataFlex, a tool for building applications in Teams. DataFlex is a subset of the functionality found in DataFlex Pro (formerly Common Data Service or CDS).

In July I was awarded the Microsoft MVP award for the 4th time. This is an award given for the my contribution to the global IT community. I'm very grateful for the award and the opportunity to contribute to the community. It also gives me the opportunity to give feedback to Microsoft on behalf of the community. Thank you to everyone who supports me, it really is appreciated.

News and Feature Announcements

More than thirty new features are currently rolling out to SharePoint. Many of these updates will reaches tenants around about now.

Here are some of the items rolling out currently:

Keep an eye on your Office 365 Message centre and expect lots of small announcements over the coming weeks as Microsoft continues to rapidly rolls out improvements.
Five Tips 
A few tips I've shared recently:
  • Giving new employees a great onboarding experience just got easier with the New Employee Onboarding Hub for SharePoint Online.
  • Do your documents open Read Only from SharePoint event when you have full permission? There are many reasons but one that isn't so obvious is when the library is sync'd and has draft versions or compulsory metadata. 
  • If you have old SharePoint Designer Workflows that need to be upgraded to Power Automate, have a look at this guidance to get yourself started. 
  • If you are designing sites for the SharePoint Mobile App, plan the order of web-parts to improve the user experience
Tip Five: Sharing policies in SharePoint can be configured at both the tenant and site level. You can disable external sharing by default but allow on specific sites e.g. projects with external contractors. In this video I demo the sharing policies and explain how to use them.

Goodbye SP2010 Workflows
Microsoft have announced the end of life for SharePoint 2010 Workflows. The recommended path forward is to recreate the workflows using Power Automate. It is common to have old SharePoint Designer workflows in SharePoint Online. I recommend taking a look to see if you do have old workflows hanging around!
