The implementation of the GDPR is fast approaching and we thought it was important to let you know what actions we are taking.
There will be some changes in how we distribute information to our centre network and to make these changes we will be sending out some requests for information in the coming weeks that we would appreciate your responses to.
So what are we doing?
We have already written to all recipients who are subscribed to our e-newsletter who may not have recently actively engaged asking them to reconfirm their wish to maintain their subscription.
We are writing to all of our approved centres confirming the staff members who currently have access to the Registr8 system asking you to confirm they still require access and that each signs and returns the Registr8 User Declaration.
We are also soon to introduce a new section to the Registr8 system listing all members of staff who are approved to deliver SFEDI Awards qualifications at your centre and the job roles they are approved to carry out.
As well as this, we will also be introducing a secure system for submitting electronic learner folders through the Registr8 system linked to a learner's registration record for those who wish to.
Also, as part of our ongoing monitoring activities we will be continuing to review centre's data protection policies to ensure they are compliant for the processing of learner data for the purposes of the delivery and certification of SFEDI Awards qualifications.
Once these activities have been completed we will be changing how we distribute information to our centres in the following ways:
We will continue to distribute general information using our e-newsletter
Monitoring activity agendas and reports and learner data requests will be distributed using the Documents section of the Registr8 system and a prompt email will be sent to the main point of contact at the centre to let you know when available
Invoices will be distributed through the Registr8 system and a prompt email will be sent to the finance contact at the centre to let you know when available
Requests to add or remove members of staff to your centre will still be made using the Centre Update form and the updated records displayed in the new staff listing on the Registr8 system
These changes will come into effect from May 2018 in time for the implementation of the GDPR.
To make sure that your access to communications from us and access to the systems is not disrupted please keep an eye on your emails in the coming weeks to ensure you submit the relevant documentation and data by the required timescales.
